Getting Started

WordPerfect 5.1 has been installed on your computer, so make sure the computer is on. Select WordPerfect from the menu.

The WordPerfect startup screen will appear briefly and the blue WordPerfect editing screen will appear as follows:

Status Line

Take a look at the status line information in the bottom right hand corner of the editing screen. It should read as follows:
Doc 1 Pg 1 Ln 1" Pos 1"
Doc 1 indicates you are working on your first document. You can work on multiple documents in WordPerfect.
  • To switch to Document 2, hold Shift down and press F3. Read the status line. You are now in Document 2.
  • To get back to Document 1, hold Shift down and press F3 again. Your status line also tells you the page on which you are currently working and the cursor position. Your line counter and position counter are being measured from the left and upper margins in inches but are changeable to other measurement units.

Function Keys

WordPerfect offers a variety of commands that you access by pressing a function key (the keys on the keyboard that have F and a number on them).
  • To access commands, press the function key alone or hold down the Shift key, the Ctrl key, or the Alt key and then press the function key.

Getting Help

WordPerfect Help offers explanation of commands and shows which each function key does.
  • Press F3 twice to see a template of all the function keys.
  • Using The Pull-Down Menu

    If you are more comfortable using a menu to help you perform your word processing tasks, a pullÐdown menu is available for use instead of the WordPerfect function keys. To activate this menu, follow these steps:
    1. Press the Alt key. The menu will appear at the top of the screen.
    2. Use the arrow keys to make your selection.
    3. Press Enter to confirm your choice.
    4. Press Alt again or the Esc key to turn the menu off, if necessary.
    This document refers to the function keys for the commands because most people prefer to use them. However, each command we will use has a corresponding menu item. Ask the instructor for more help on the menu if needed.

    Working With Documents

    This section will explain how to work with documents in WordPerfect.

    Retrieving A Document

    To work on a previously saved document, you must retrieve it. Make sure you start with a blank editing screen. If a document is already open, retrieving will place the new one into the one currently being viewed.

    The following will appear on your status line:

    Dir C:\*.* (Type = to change default Dir)
    The directory named on the left side is where WordPerfect will look for your file. Right now it says C:\, which means it will look at the computer's internal hard drive.
    • If this is what you want, press Enter.
    • If you would rather save your file to a disk, type A:\ to change to the directory of your disk. If you type an =, you will get prompted to change the default directory, which means from now on WordPerfect will look to the A:\ first.

    A listing of your files will appear. Use your directional arrows to move the highlighted bar to the name of the document you would like to work on. The menu at the bottom of the screen will show your options.

    • Press 1 or r to retrieve the document.
    Your document will now appear on the screen.

    NOTE: Do not access the pull-down menu and choose File and Retrieve unless you can supply the correct file location and complete file name. Choosing List Files provides you with a listing of all your work to help you remember their names. If you choose Retrieve and accidentally type an incorrect filename, a message will appear saying

    Error --File not found --

    Creating a Document

    To create any document, simply begin typing on the clean, uncluttered screen. When typing paragraphs of information, DO NOT press the Enter key as you approach the right margin. WordPerfect will automatically wrap the text around to the next line during typing. Normally, you only press the Enter key to end short sentences which stand alone (such as an address, or a salutation), or to end a paragraph.

    Getting Around

    The following key strokes are quick ways of moving around in WordPerfect documents:

    KEY CURSOR MOVEMENT
    <-- or --> One character space left or right
    up or down arrow One line up or down
    Ctrl + <-- Beginning of the preceding word
    Ctrl + --> Beginning of the next word
    Ctrl + up arrow Beginning of previous paragraph
    Ctrl + down arrow Beginning of the next paragraph
    Home + <-- Left edge of the screen/line
    Home + --> Right edge of the screen/line
    Home + Home + up arrow Top of the document
    Home + Home + down arrow Bottom of the document
    - (on the numeric keypad) Top of the current screen
    + (on the numeric keypad) Bottom of the current screen
    Page Up Top of the preceding page
    Page Down Top of the next page
    Ctrl + Home Go to Page Key

    Saving And Naming A Document

    Get in the habit of saving your work every ten to fifteen minutes, even if it contains errors or is not complete.
    • Press F10 to save a document.
    The bottom left-hand corner of the status line will say:
    Document to be saved:
    A newly created document may be given any name consisting of 1Ð8 characters. After the last character, you may add a period and a maximum of 3 additional characters to the document name.

    To save the document to your disk, follow the procedure below:

    1. Type A:\
    2. Carefully type the document name.
    3. If you make an error, use the Backspace key to make corrections.
    4. Press the Enter key.

    The name and location of the document will appear in the bottom leftÐhand corner of the status line, and you may continue working. Double check to make sure that the status line displays the correct storage area (for all the exercises you should see A:\) and then the name of your document (filename).

    Re-Saving A Document

    Continue the habit of saving your work every ten to fifteen minutes. To save
    1. Press F10 to save your document. The bottom leftÐhand corner of the status line will now show the complete name of the document you are working on.
    2. Double-check the name of your document and
    3. Press Enter. The bottom leftÐhand corner of the status line will then display the following message:
      Replace <Name of File> No (Yes)
    4. Type Y for yes to keep the changes to your original document. The corrected version of your document is now reÐsaved. Your old document has been overÐwritten.

    Printing A Document

    When you are ready to print a document, access the print menu by holding down Shift and pressing F7.

    The following WordPerfect print menu will appear.

    Print

    1--Full Document
    2--Page
    3--Document on Disk
    4--Control Printer
    5--Multiple Pages
    6--View Document
    7--Initialize Printer

    Options


    S--Select Printer HP LaserJet Series II
    B--Binding Offset 0"
    N--Number of Copies 1
    U--Multiple Copies Generated by Word Perfect
    G--Graphics Quality Medium
    T--Text Quality High
    A--Banners No
    O--Form Number 0

    Selection: 0

    To Print an Entire Document

    To print the entire document, do the following:
    • Press 1 or F.

      The full document will immediately go to the printer and you will return to the editing screen.

    To Print One Page

    To print the page the cursor is on, do the following:
    • Press 2 or P.

      Only the page of the document on which the cursor was sitting will be sent to the printer and you will return to the editing screen.

    To Change the Printer

    Make sure the printer you want is displayed under the options portion of the print menu. To change the printer, follow these steps:
    1. Press S.
    2. Select the correct printer.
    3. Press Enter.

    To View a Document

    WordPerfect offers the option to view your document on the screen as formatted for your printer before you print. To veiw your document press 6 or V.

    The menu at the bottom of the screen offers a choice of magnification options.

    When you are done viewing the document, press F7 to exit back to the editing screen.

    Closing the Document

    When you are finished with your document, press F7 to close it.

    The bottom leftÐhand corner of the status line will display the following message:

    Save Document? Yes (No)
    If you have not made any changes since the last time you saved, the message "(Text was not modified)" will appear in the lower right corner.

    If you do not see this message, save your work by typing Y for yes and follow the instructions for REÐSAVING corrected work or SAVING a newly created document. If you do not need to save or reÐsaved your work, type N for No.

    Whether you saved your document now or not, the bottom leftÐhand corner of the status line will now display the following message:

    Exit WP? No (Yes)
    When you wish to continue on another WordPerfect document, type N for no. Any work that was on the screen is now gone, and the clean WordPerfect editing screen is visible. At this point you could create another document or retrieve an old document to work on.

    Exiting WordPerfect

    To exit WordPerfect, press F7.

    The bottom left-hand corner of the status line will display the following message:

    Save Document? Yes (No).
    • Press Y for yes if you would like to save the document you had been working on.
    • If you do not need to save, type N for No.
    You will then be asked:
    Exit WP? No (Yes).
    If you no longer wish to work in WordPerfect, type Y for Yes. Upon exiting WordPerfect you will return to your main menu if one is available.

    Editing the Document

    This section explains some ways to edit your WordPerfect documents.

    Text Editing

    Editing your text is relatively easy in WordPerfect.

    Inserting New Text

    Use the up, down, left, or right directional arrows to place the cursor where additional information is to appear. Then begin typing.

    Deleting Text

    There are a number of ways to delete text.

    To delete a single character of text at a time
    You can use either of two methods to delete one single text character at a time. These methods are as follows:

    1. Use the up, down, left, or right directional arrows to place the cursor on any character of information which needs to be eliminated.
    2. Press Delete one time for each character to be deleted.

    OR

    1. Use the up, down, left, or right directional arrows to place the cursor immediately to the right of information which should be eliminated.
    2. Press Backspace one time for each character which should be eliminated.

    To delete one word of text at a time
    To delete an entire word at one time, follow this procedure:

    1. Use the up, down, left, or right directional arrows to place the cursor on any character of the word to be eliminated.
    2. While holding down the Ctrl key, press Backspace.

    To delete several characters or words at a time
    To delete several charaters or words at one time, follow this procedure:

    1. Use the up, down, left, or right directional arrows to place the cursor on the first character of information which needs to be eliminated.
    2. Press F12 or the Alt and F4 keys to turn on the Block feature. Use the arrows to highlight every character of consecutive information which needs to be eliminated.
    3. Press Delete. The bottom leftÐhand corner of the status line will display the following message:
      Delete Block? No (Yes)
    4. Type Y to respond Yes.

    To undelete text:
    If you accidentally delete something, you can "recover" it by following these procedures:

    1. Immediately position your cursor where you would like the deleted text to
    2. Press F1. WordPerfect will put the most recently deleted text on the screen. The following menu will appear:
      Undelete: 1 Restore; 2 Previous Deletion: 0
    3. Press 1 or R to restore that text or press 2 or P to show the previous deletion.
      WordPerfect will hold the three most recent deletions in memory.

    Blocking Text
    Blocking text is useful when you want to edit chunks of text such as a whole sentence or paragraph. To block text, follow this procedure:

    1. Use the up, down, left, or right directional arrows to place the cursor on the first character to be included in the block.
    2. Press F12 or the Alt F4 keys to turn on the Block feature. Block on should be flashing in the leftÐhand corner of the status line.
    3. Use the arrows to highlight every character of consecutive information which will be in the block. After text is blocked, it can be edited as a whole.

    Moving Text
    Moving allows text to be relocated. To move text, follow this procedure:

    1. Press the Ctrl amd F4 keys. The following menu will appear:
      Move: 1 Block 2 Tabular Column 3 Rectangle: 0
    2. Because you have blocked the information, press 1 or B. The following menu will appear:
      1 Move 2 Copy 3 Delete 4 Append: 0
    3. Press 1 or M to move the text. The blocked text will disappear. WordPerfect will then ask you to:
      Move cursor; press Enter to retrieve
    4. Move the cursor to the location where you want the text to be placed.
    5. Press Enter.

    Copying Text
    Copying text allows it to be duplicated. To copy text, follow these procedures:

    1. Block all the text to be duplicated.
    2. While holding down Ctrl, press F4. The following menu will appear:
      Move: 1 Block 2 Tabular Column 3 Rectangle: 0
    3. Because you have blocked the information, press 1 or B. The following menu will appear:
      1 Move 2 Copy 3 Delete 4 Append
    4. Press 2 or C to copy the text. WordPerfect will then ask you to:
      Move cursor; press Enter to retrieve
    5. Move the cursor to where you want the copied text to be placed.
    6. Press Enter.

    Character Format

    WordPerfect allows you to change the look of the characters in your document.

    Font

    A font is the collection of alphabetical and numeric characters with the same style and size which determines the appearance of your text. Point size refers to the height of any character measured in units of points. Font changes in WordPerfect will be limited to the type of printer you are using. Each printer has different limitations for generating fonts.

    To change the font, follow this procedure:

    1. While holding down Ctrl, press F8.
    2. Press 4 or F for the base font. A listing of available font names and sizes will appear which corresponds to the fonts available for your current printer.
    3. Select one of the fonts listed by highlighting it and then pressing 1 or S.
    4. Press Enter to return to your editing screen.

    Size

    WordPerfect allows you to change the size of your text to one of the following:

    Superscript
    Subscript
    Fine
    Small
    Large
    Very Large
    Extra Large
    All of the size changes are accessed in the same way.

    Changing the size of new text
    To change the size of the text you are going to type, follow this procedure:

    1. While holding down Ctrl, press F8. The following menu will appear:
      1 Size; 2 Appearance; 3 Normal; 4 Base Font; 5 Print Color: 0
    2. Press 1 or S.
    3. Choose the letter or number of the text sizes desired from the following menu:
      1 Suprscpt; 2 Subscpt;3 Fine;4 Small;5 Large;6 Vry Large;7 Ext Large: 0
    4. Type in the text.
    5. Press the right arrow key to resume normal text.

    Changing the size of existing text
    To change the size of existing text, follow this procedure:

    1. Block the character(s) whose size you want to change.
    2. While holding down Ctrl, press F8.
    3. Press 1 or S and then the number or letter of the desired size.

    Appearance
    WordPerfect allows you to change the appearance of the text to one of the following:

    Bold
    Underline
    Double Underline
    Italics
    Outline
    Shadow
    Small Caps
    Redline
    Strikeout

    All of these appearance changes are accessed in the same way.

    Changing the appearance of new text
    To change the appearance of the text you are going to type, follow these procedures:

    1. Press the Ctrl and F8 keys. The following menu will appear:
      1 Size; 2 Appearance; 3 Normal; 4 Base Font; 5 Print Color: 0
    2. Press 2 or A.
    3. Choose the letter or number of the text appearance desired from the following menu:
      1 Bold 2 Undln 3 Dbl Udn 4 Italc 5 Outln 6 Shadw 7 Sm Cap 8 Redln 9 Stkout: 0
    4. Type in the text.
    5. Press the right arrow key to resume normal text.

    Changing the appearance of existing text
    To change the appearance of existing text, follow these procedures:

    1. Block the character(s) whose appearance you want to change.
    2. Press the Ctrl and F8 keys.
    3. Then press 2 or A.
    4. Press the number or letter of the desired appearance.
    Two appearance choices, bold and underline, can also be accessed with function keys.

    Bolding Text
    To type in bolded text, do the following:

    1. Press F6.
    2. Type the information to be bold.
    3. Press F6 again.

    To make existing text bold, do the following:

    1. Block the text.
    2. Press F6.

    Underlining Text
    To type in underlined text, do the following:

    1. Press F8
    2. Type the information to be underlined.
    3. Press F8 again.

    To underline existing text, do the following:

    1. Block the text.
    2. Press F8.

    Note: Text which has had its size or appearance changed will be in a different color on the screen. The position number in the lower right corner will also change to that color when the cursor is placed on that text.

    Reveal Codes

    WordPerfect's clean, uncluttered screen allows you to work free of symbols. However, WordPerfect has codes showing text changes which can be turned on and off to evaluate problems within a document.
    • To turn on the reveal codes, press the Alt and F3 keys or F11.
    Notice your screen will split in two. The top portion shows the text without the codes. The bottom portion shows the text with the codes. The bottom portion of your screen will look similar to the following:

    [Just:Left][HRt]
    
    A wise man once said that "Friends come and go, but enemies accumulate."[SRt] 
    The same can be said of the relationships that develop between a company[SRt] 
    and its customers.[HRt]
    
    The year 1989 marks the 50th anniversary of the founding of HALVA[SRt] International.  While many other import/export businesses have started in[SRt] 
    glory and ended in defeat, the HALVA International corporation continues to[SRt] thrive.  While there are many theories surrounding the success of HALVA[SRt] International, the truth lies in the careful cultivation of customer[SRt] 
    relationships and continued efforts to provide quality merchandise at[SRt] 
    affordable prices.[HRt]
    
    In this report, the past, present, and future status of HALVA International[SRt] 
    are reviewed, with an emphasis on these characteristics as being vital to[SRt] 
    the continued survival of the company.[HRt]
    

    The codes are easy to decipher:

    • [Just] shows where the justification has been changed.
    • [Center] means text has been centered.
    • [BOLD][bold] designates where bolding begins and ends
    • [UND][und] designates where underlining begins and ends
    • [SRt] indicates the wraparound feature of WordPerfect, i.e. soft return
    • [HRt] indicates where you have pressed the [Enter] key, i.e. hard return
    Each time you change the text in WordPerfect, it will insert a code. There are many more codes than those shown here.

    The WordPerfect codes may be deleted by placing the cursor on the code and pressing Delete. This will eliminate the setting that the code controlled.

    Turn the reveal codes off the same way you turned them on, by pressing Alt and F3 or F11. You will then return to the normal WordPerfect editing screen.

    Paragraph Format

    WordPerfect allows you to change to formats of the paragraphs in your document.

    Line Spacing
    WordPerfect's documents are single-spaced by default. You can change the line spacing by following the procedure below:

    1. Press the Shift and F8 keys. The following format menu will appear, which is used to access many commands.
      
      1 -- Line
             Hyphenation                    Line Spacing
             Justification                  Margins Left/Right
             Line Height                    Tab Set
             Line Numbering	              Widow/Orphan Protection
      
      2 -- Page
             Center Page (top to bottom)     Page Numbering
             Force Odd/Even Page	       Paper Size/Type
             Headers and Footers	       Suppress
             Margins Top/Bottom
      
      3 -- Document
             Display Pitch	               Redline Method
             Initial Codes/Font	       Summary
      
      4 -- Other
             Advance	                       Overstrike
             Conditional End of Page	       Printer Functions
             Language	                       Border Options
      
      	Selection:  0
      
    2. Choose 1 or L for options on formatting a line. A detailed menu will appear.
    3. Press 6 or S for line spacing. The cursor will appear under the 1.
    4. Type the size of the space you want between lines. It is usually 1.5 for space and a half or 2 for double spaced.
    5. Press Enter.
    6. Press Enter again to save the changes and go back to the editing screen.

    Line Justification
    WordPerfect places text flush left as the default setting. You can change the position of the text. To do so, follow these steps:

    1. Press Shift and F8.
    2. Access the Line menu.
    3. Press 3 or J for Justification.

    The centering and flush right commands can also be accessed with function keys.

    Centering Text
    To center new text, do the following:

    1. Place the cursor on the empty line where you want to center text.
    2. Press Shift and F6.
    3. Type your text.
    4. Press Enter.

    To center existing text, do the following:

    1. Place the cursor under the first character of the information to be centered.
    2. Press Shift and F6.
    3. Press Enter after the last character of the information to be centered.
    4. Press the down arrow one time.

    Flush Right
    To align new text along the right margin, follow these steps:

    1. Position the cursor on the line where the text should appear.
    2. Press Alt and F6.
    3. Type your text.
    4. Press Enter.

    To align existing text to the right margin, follow these steps:

    1. Place the cursor under the first character which should align at the right margin.
    2. Press Alt and F6.
    3. Press Enter.

    Flush Left
    If you have changed the text justification and want to go back to flush left, you have to access it in the following way:

    1. Press Shift and F8.
    2. Press 1 or L for the line menu.
    3. Press 3 or J for justification. You will see a menu of choices.
    4. Press 1 or L for left justification.

    Setting Tabs

    WordPerfect allows the placement of 4 different types of tabs: Left, right,
    1. Press Shift and F8 to access formatting changes.
    2. Press 1 to access line changes
    3. Press 8 to alter tab settings. The following will appear at the bottom of the screen:
      L....L....L....L....L....L....L....L....L....L....L....L....L

      Ctrl-End (clear tabs);  Enter Number (set tab);  Del (clear tab);

    4. Press Ctrl and End to clear all tab settings.
    5. Move the arrows to the location where you want the tabs set.
    6. Press the letter corresponding to the type desired.
    7. Press F7.
    8. Press Enter twice to return to your document.

    Document Format

    You can easily change the look of your document on the page.

    Page Breaks


    To force a page to break anywhere in your document, do the following:
    1. Position your cursor on the line at the position where you want one page to terminate and another page to begin.
    2. While holding down Ctrl, press Enter. This will end the current page, and new text will begin on the new page. The page break will appear as a hyphenated line like this ==== across the screen.

    Margins


    WordPerfect's default margins are 1 inch on all sides. You can change all of these margins.

    Left/Right Margins

    1. Press Shift and F8 to access the format menu.
    2. Press 1 or L to access the line menu.
    3. Press 7 or M to choose Margins. The cursor will move under the margin size of the left margin.
    4. Type the size you want the left margin to be or press Tab if you do not want to change the left margin.
    5. Press Tab when you are finished entering the left margin.
    6. Change the right margin if desired.
    7. Press Enter until you see the edit screen to save the changes.

    Top/Bottom Margins
    To change the top or bottom margin, follow this procedure:

    1. Press Shift and F8 to access the format menu.
    2. Press 1 or L to access the line menu.
    3. Press 5 or M to choose Margins. The cursor will move under the margin size of the top margin.
    4. Type the size you want the top margin to be or press Tab if you do not want to change the top margin.
    5. Press Tab when you are finished entering the top margin.
    6. Change the bottom margin if desired.
    7. Press Enter until you see the edit screen to save the changes.
