ARTICLE I: Name and symbol of the organization
A. The name of the organization
shall be the “Collegiate 4-H Club at the University of Illinois at Urbana-Champaign.”
B. The two identifying symbols
of the organization shall be:
1. Orange block “I” with an official recognized 4-H clover centered over
the top.
2. An arched box containing mortarboard above a 4-H clover, “NATIONAL COLLEGIATE
4-H” printed below the
4-H clover. The motto “CONTINUING TO SHARE (dot) SHARING TO CONTINUE”
shall be printed along
the outside of the arch.

ARTICLE III: Purpose
Collegiate 4-H exists to
serve youth, to function as a service oriented organization, and to bridge
the gap between youth
and extension staff.
ARTICLE IV: Membership
A. Membership and all of
the officers, including the advisor, are restricted to currently registered
UIUC students, faculty,
and staff.
B. Membership dues will
be collected at the beginning of each semester.
1. Amount of dues will be set at the last meeting of each semester by a
majority of the members present at that meeting.
C. A member in good standing
shall:
1. Have paid semester dues.
2. Attend two thirds of regular monthly meetings unless explanation is
received by the secretary and validated by the
executive board.
3. Have voting privileges.
ARTICLE V: Officers
A. All offices will be elected
at the March meeting each year.
B. Elections will be by
closed ballot. Absentee ballots will be accepted by the President
or other executive board
member not running for reelection if received at least two hours prior
to the meeting in which elections are to be held. Sliding ballot
may also occur.
C. Possible officer positions
and responsibilities are as follows;
1. President: The president shall preside over all meetings of the
club and ensure that all activities and programs are
carried out in an appropriate manner. The president shall plan and
arrange the meetings and place for the meetings.
The president shall keep in close contact with the advisor and the State
4-H Office. The president shall coordinate
officer reports and keep the officer folders updated. The president
shall serve as a representative for the College of
Agricultural, Consumer, and Environmental Sciences Council.
2. Vice-President: The vice-president shall preside in the absence
of the president at meetings and other functions.
The vice-president is responsible for sitting on all special committees.
3. Secretary: The secretary shall be responsible for keeping minutes
of all meetings and attending to all
correspondences necessary at the local, state, regional, and national levels.
The secretary shall maintain the 4-H
e-mail list and membership list.
4. Treasurer: The treasurer shall keep an accurate account of the
club’s financial resources and all the transactions that
take place. The treasurer shall submit a budget, maintain the ledger,
and all necessary paper work for the club,
SORF, and University as needed. The treasurer shall sit on the fundraising
committee.
5. ACES Open House Chair: The ACES Open House chair shall be responsible
for the planning and coordinating of
activities for the ACES Open House. The ACES Open House chair shall
be a representative for the College of
Agricultural, Consumer, and Environmental Sciences Council.
6. Historian: The historian shall be responsible for keeping up a
club scrapbook, display board, and webpage.
7. Social Chair: The social chair shall coordinate all club activities
and social events. The chair will also publicize and
post meeting and activity announcements.
8. Public Service Chair: The service chair shall coordinate all public
service projects.
9. Fundraising Chair: The fundraising chair shall be in charge of all fundraising
activities.
10. Advisor:
The advisor shall be responsible for overseeing the executive board and
insure they are following the
objectives of the club.
D. Any officer may be removed from office if not
deemed a member in good standing or is found to breach constitution.
Removal may occur at any
regular monthly meeting at which a quorum is present by a two-thirds vote.
E. Vacant offices may be filled at any regular meeting
at the discretion of the executive board.
F. The executive board shall consist of the President,
Vice-President, Secretary, and Treasurer.
G. The president shall have sole power to make emergency
decisions upon approval of the advisor. Otherwise, the club or
executive board must approve
all business and financial transactions.
ARTICLE VI: Meetings
A. The Collegiate 4-H Club shall meet no less than
once monthly during the fall and spring semesters.
B. All regular meetings for the semester shall be
set at the first meeting each semester.
C. Unless otherwise stated a quorum shall be defined
at one half of all members in good standing.
D. Order of business shall follow Robert’s Rules
of Order.
E. Minutes from the previous meeting shall be available
before the next meeting.
ARTICLE VII: Amending the Constitution
A. Amendments to the constitution shall be presented
one month before the meeting at which they are to be voted upon.
B. Amendments may be passed by a two-thirds vote
when a quorum is present.
ARTICLE VIII: Member Awards
A. The club will present the Collegiate 4-H
Outstanding Member Award at the College of ACES Awards Banquet each year.
B. Nominations will occur two months prior
t othe banquet with election to be one month prior.
